At School Club, we strive to ensure a smooth and transparent experience for all financial transactions made through our platform, whether by educational institutions or parents paying school fees. This Refund and Cancellation Policy outlines the conditions under which refunds may be issued.

1. For Educational Institutions (B2B Subscriptions)

  • Non-Refundable Subscriptions: Annual or monthly subscription fees paid by schools for using the School Club ERP software are generally non-refundable once the deployment and onboarding process has commenced.
  • Cancellation: Institutions may cancel their subscription at any time. The cancellation will take effect at the end of the current billing cycle, and no partial refunds will be issued for unused time.
  • Service Interruptions: In the rare event of prolonged, documented service outages exceeding our SLA guarantees, a pro-rated credit may be applied to the institution's next billing cycle.

2. For Parents & Students (School Fee Payments)

School Club provides an integrated payment gateway solely to facilitate the collection of fees on behalf of the educational institution. We do not hold the funds. Therefore:

Handling of Fee Refunds

  • Directly with the School: Any request for a refund of school fees, transport fees, or activity charges must be directed to the school's administration. School Club cannot independently issue refunds for fees paid to a school.
  • Failed Transactions: If a transaction fails (e.g., amount debited from your bank but receipt not generated), the amount is automatically reversed by the payment gateway to the original payment method within 5-7 business days.
  • Duplicate Payments: In the event of an accidental double payment for the same fee invoice, please contact the school administration immediately. Upon verification, the school will initiate the refund from their merchant dashboard.
